We are seeking a highly skilled, proactive, and experienced Female Executive Assistant to provide high-level administrative, operational, and strategic support to the Chief Executive Officer of Casalavoro Limited. She must demonstrate strong business judgment, excellent communication skills, and the ability to take ownership of tasks and projects from initiation through to successful completion with minimal supervision. The ideal candidate should be highly organized, analytical, discreet, and capable of working independently. Key Responsibilities: Take accurate meeting minutes, document decisions and action points, circulate them to relevant stakeholders, and follow up to ensure timely execution. Coordinate with internal teams, clients, vendors, partners, and other stakeholders to ensure smooth execution of business priorities. Take full ownership of assigned projects from initiation to completion, including planning, execution, stakeholder coordination, monitoring, reporting, and close-out, with minimal supervision. Maintain accurate and well-organized records, reports, contracts, correspondence, and other important company documentation. Monitor assigned tasks, strategic initiatives, and management directives, ensuring that responsible teams and individuals follow through on agreed actions. Manage the CEO’s calendar, appointments, meetings, priorities, and daily schedule, ensuring effective time management and coordination. Handle confidential and sensitive business, financial, personnel, and executive information with the highest level. Support administrative and business operations by coordinating routine processes, tracking expenses and documentation, and ensuring timely completion of operational requirements. Coordinate internal and external meetings, prepare agendas, presentations, briefing materials, and relevant documents ahead of engagements. Support the planning and execution of company events, conferences, business meetings, and corporate engagements. Manage correspondence, emails, phone calls, and other communications on behalf of the CEO while ensuring timely and professional responses. Coordinate travel arrangements, including flights, accommodation, transportation, itineraries, and other logistics for the CEO Serve as a key liaison between the CEO,managers , employees, clients, partners, and other stakeholders, maintaining clear, professional, and effective communication. Conduct research, gather and analyze information, and prepare reports, presentations, briefs, and other materials Key Criteria / Requirements: Ability to handle confidential, sensitive, and business-critical information with a high level of professionalism and discretion. Proficiency in Microsoft Excel, PowerPoint, Word, Google Workspace, and other relevant productivity tools. Highly organized with exceptional attention to detail. Ability to analyze information, identify issues, and support management in making informed business decisions. Demonstrated ability to manage projects from start to finish, including planning, execution, coordination, monitoring, reporting, and completion. Strong record-keeping, documentation, and organizational skills. Strong analytical, critical-thinking, and problem-solving abilities. Professional background or relevant experience: in Law, Accounting, Finance, or corporate administration. Ability to manage multiple priorities, meet deadlines, and work effectively under pressure. Strong ability to work independently, take initiative, and exercise sound judgment without constant supervision. Excellent written and verbal communication skills. Bachelor’s Degree in Law, Accounting, Finance. Strong professional presence, maturity, emotional intelligence, and business etiquette. Minimum of 2 years’ experience: in an Executive Assistant, Executive Office, or similar role. Must be adaptable and comfortable working in a fast-paced and constantly evolving business environment.
