The role involves collecting and sharing accurate material received/issued/returned information with the Quantity Surveyors at IPMC, and supporting the reconciliation of materials issued against contractors' material consumption records and invoices. The Warehouse Coordinator is responsible for monitoring and recording materials issued free of charge to construction contractors by the Client's Warehouse. The Warehouse Coordinator also liaises with the client's warehouse managers and supervisors on the availability of stock and materials reserved for construction and construction contractors, acting as a key link between the client's warehouse operations and IPMC's cost assurance function. Key Responsibilities: Warehouse Monitoring & Materials Tracking: Monitor and record all incoming materials being delivered to the Warehouse to update the stock quantities provided with documentation such as Packing List, BOL, delivery notes, GR's and MIR's which will be utilized during material reconciliation process. Be stationed at the client's warehouse to monitor and record all materials issued free of charge to construction contractors. Track stock movements and material balances at the client's warehouse relevant to construction activities. Maintain accurate, up-to-date logs of material issuances, including quantities, dates, recipient contractors, and issuing documentation. Reporting & Coordination with the QS Team: Collect and compile information on issued materials and share regular reports with the Quantity Surveyors. Support the QS team with data required for cost tracking, valuations, and material cost accounting. Flag discrepancies or unusual material issuance patterns to the Consultant QS for review. Material Reconciliation: Investigate and help resolve variances between issued quantities and contractor-reported consumption. Support the preparation of reconciliation reports for use in cost verification and contract administration. Assist in reconciling materials issued from the warehouse against contractors' material consumption records and invoices. Client Liaison & Stock Coordination: Coordinate with the client's warehouse managers and supervisors on the availability of stock and materials reserved for construction and construction contractors. Communicate anticipated material requirements: to the client's warehouse team to support timely availability of materials for ongoing works. Maintain a professional working relationship with client warehouse personnel and construction contractors. Documentation & Compliance: Maintain complete and organized records of warehouse transactions, delivery notes, material requisitions, and issuance vouchers relevant to the project. Support periodic stock counts and physical verification of materials as required. Ensure materials handling and documentation comply with the client's warehouse procedures and IPMC's reporting standards. Qualifications Minimum of 10 years of relevant experience: in warehouse/materials management, quantity surveying, or construction material procurement. Bachelor's Degree or equivalent qualification in Quantity Surveying, Warehouse Management, Engineering, or a related field. Proficient in Microsoft Office Suite (particularly Excel); familiarity with warehouse or inventory management systems (SAP) is an advantage. Working knowledge of material tracking, stock reconciliation, and basic cost/quantity documentation. Key Competencies: Strong attention to detail and accuracy in recording and reconciling material data.
