We are recruiting to fill the position below: Job Title: Storekeeper Location: Abia Reports to: Accountant / Financial Controller (as applicable) Supervises: Store Assistants, Store Clerks, Inventory Assistants (where applicable Job Summary The role ensures that inventory is properly accounted for, stored under appropriate conditions, and issued only against duly authorized requisitions in accordance with the hotel's inventory management policies and internal control procedures. The Storekeeper is responsible for the efficient receipt, storage, issuance, safeguarding, and inventory control of all hotel materials, supplies, equipment, food items, beverages, housekeeping supplies, engineering materials, office supplies, linen, uniforms, and operating equipment. The Storekeeper works closely with Procurement, Cost Control, Kitchen, Food & Beverage, Housekeeping, Engineering, Finance, and all operational departments to ensure uninterrupted operations, minimize stock losses, maintain accurate inventory records, and support cost control initiatives consistent with the standards of a superior luxury hotel. Key Responsibilities: Inventory Receiving & Verification: Reject damaged, expired, substandard, or incorrect items in accordance with hotel procedures. Ensure all received items are properly documented before acceptance. Receive all goods, materials, equipment, and supplies delivered to the hotel. Inspect deliveries for quantity, quality, specifications, damages, and expiry dates. Verify received items against approved Purchase Orders (POs), Goods Received Notes (GRNs), delivery notes, and supplier invoices. Coordinate with Procurement and Cost Control to resolve delivery discrepancies. Inventory Storage & Preservation: Protect inventory from theft, contamination, deterioration, damage, and unauthorized access. Maintain cleanliness, orderliness, and security within all storage areas. Ensure proper labeling, shelving, and identification of inventory. Ensure food items are stored under appropriate temperature and hygiene conditions. • Maintain separate storage areas for food, beverages, engineering materials, chemicals, housekeeping supplies, linen, uniforms, and general stores. Store inventory safely, systematically, and in accordance with approved storage standards. Stock Issuance: Ensure accurate quantities are issued. Issue inventory only against properly approved Store Requisition Forms (SRFs). Maintain accountability for all issued materials. Monitor emergency stock requests and report unusual consumption. Verify authorization before releasing stock. Update inventory records immediately after stock issuance. Inventory Control: Monitor stock balances daily. Maintain accurate inventory records using manual and computerized inventory management systems. Monitor slow-moving, obsolete, expired, damaged, and excess inventory. Prevent stock shortages and overstocking. Ensure compliance with approved minimum, maximum, and reorder stock levels. Recommend replenishment or disposal where appropriate. Stock Counts & Reconciliation: Investigate stock variances and discrepancies. Conduct daily, weekly, monthly, quarterly, and annual stock counts. Prepare inventory adjustment reports where necessary. Reconcile physical stock with inventory records. Participate in periodic physical inventory verification exercises. Support Cost Control and Internal Audit during stock verification exercises. Inventory Documentation: Prepare Goods Received Notes (GRNs), Stock Issue Vouchers (SIVs), Bin Cards, and inventory reports. Ensure inventory transactions are accurately entered into the inventory management system. Maintain organized filing systems for inventory documentation. Maintain accurate records of receipts, issues, transfers, returns, and adjustments. Retain records in accordance with company policies. Cost Control & Loss Prevention: Recommend inventory optimization measures. Support the Cost Controller in monitoring inventory usage and minimizing wastage. Prevent inventory losses arising from spoilage, theft, damage, pilferage, and unauthorized issuance. Support initiatives aimed at reducing operational costs. Ensure compliance with the First-In, First-Out (FIFO) and First-Expired, First-Out (FEFO), where applicable, inventory management principles. Report unusual inventory movements immediately. Health, Safety & Hygiene: Maintain proper housekeeping within storage facilities. Observe fire safety and occupational health requirements. Report unsafe storage conditions promptly. Ensure chemicals and hazardous materials are stored safely. Participate in safety inspections and emergency drills. Ensure compliance with food safety regulations and hygiene standards. Equipment & Asset Management Maintain storage equipment, shelving, pallets, racks, and inventory handling tools. Report damaged storage equipment for repair or replacement. Safeguard hotel property under store custody. Support asset identification and inventory tagging exercises. Monitor hotel operating equipment stored within the warehouse. Reporting & Communication: Submit stock movement reports and inventory status reports. Prepare daily, weekly, monthly, quarterly, and annual inventory reports. Maintain effective communication with all operational departments. Report low stock levels and reorder requirements: promptly. Communicate inventory concerns to Procurement, Finance, and departmental users. Teamwork & Stakeholder Engagement: Work closely with Procurement, Cost Control, Kitchen, Food & Beverage, Housekeeping, Engineering, Finance, and Internal Audit. Promote teamwork within the Stores and Procurement function. Assist external auditors during inventory audits. Maintain positive working relationships with suppliers during deliveries. Support smooth supply chain operations across all departments. Compliance & Continuous Improvement: Support automation of inventory management processes. Participate in inventory management training programmes. Recommend improvements to inventory systems and storage practices. Ensure compliance with company policies, inventory procedures, and internal controls. Promote continuous improvement in stock management efficiency and accountability. Qualifications & Requirement Education: National Diploma (ND), Higher National Diploma (HND), or Bachelor's Degree in Supply Chain Management, Purchasing & Supply, Logistics, Business Administration, Accounting, or a related discipline. Experience: 3 – 5 years of experience: in inventory management, stores operations, warehouse management, or logistics. Experience: in a luxury hotel, hospitality establishment, or large commercial organization is highly desirable. Experience: using inventory management software or ERP systems is an added advantage. Professional Certifications (Preferred) Chartered Institute of Procurement & Supply (CIPS). Proficiency in Microsoft Excel and inventory management software.
