A reputable organization requires the services of a smart, organized, and detail-oriented Project Coordination & Documentation Officer to support project scheduling, documentation, reporting, site administration, logistics follow-up, client report preparation, and coordination of project activities across multiple sites and teams. The successful candidate will work closely with the Project Director, engineers, site supervisors, technicians, media teams, logistics teams, procurement teams, clients, partners, contractors, and other project personnel. Responsibilities: Ensure project records are complete, accurate, properly filed, and easy to retrieve. Coordinate with engineers, technicians, contractors, vendors, site supervisors, media teams, and field teams on project administrative matters. Support preparation of reports and presentations for clients, partners, management, and stakeholders. Prepare daily, weekly, monthly, milestone, and client-facing project reports. Take minutes during project meetings, site meetings, client meetings, and internal review meetings. Support the Project Director with project scheduling, coordination, documentation, reporting, and follow-up. Track project risks, issues, delays, and bottlenecks and escalate them to the Project Director. Collect project updates from site teams and convert them into clear reports. Maintain action trackers, issue logs, decision logs, document registers, and project files. Work with media teams to ensure photos, videos, before-and-after visuals, interviews, and progress evidence are properly captured and organized. Prepare and update project schedules, work plans, activity calendars, and timelines. Coordinate site logistics such as movement plans, materials follow-up, transport schedules, team deployment, and site visit support. Requirements: Must be organized, proactive, disciplined, confidential, and able to work with minimal supervision. Minimum of 2–4 years’ practical experience: in project coordination, project administration, documentation, reporting, operations support, site administration, executive support, logistics coordination, or related roles. HND, Bachelor’s Degree, or equivalent qualification in Project Management, Business Administration, Public Administration, Management, Engineering Administration, Operations Management, Mass Communication, English, Office Technology, Business Communication, Information Management, or related field. Strong writing, documentation, reporting, and communication skills. Experience: working with engineers, technical teams, project sites, field teams, contractors, media teams, or client-facing projects will be an advantage. Good knowledge of Microsoft Word, Excel, PowerPoint, Outlook, Google Workspace, and digital filing systems. Must be willing to visit project sites where required.
