We are recruiting to fill the position below: Job Title: Executive Assistant to the Medical Director Location: Lagos Employment Type: Full-time Job Overview The post holder be expected to manage high-level administrative support, clinical schedule coordination, and confidential communication for the Medical Director. You will be expected to develop in-depth specialist knowledge of the Medical Leadership team’s work and have the ability to provide detailed advice and information to whoever requests it, dealing with highly confidential matters with discretion and sensitivity. Main Duties of the Job Monitor the progress of any action, and deadlines to be met. This will include liaising with senior managers, Directors, external agencies, stakeholders and partner agencies. To support the Medical Director in all areas of project work, to the point of managing aspects of certain projects as required. To maintain the electronic diary system, prioritising the Director’s emails, work activities; resolve conflict diary appointments and set schedules. Draft responses on the Director’s behalf, summarise information, advise on priorities/action required, circulate as necessary. Ensure correspondence is dealt with promptly, being aware of sensitive and contentious issues/information. To support the Medical Director in all aspects of planning and organisation of directorate events. To provide efficient and confidential support to the Medical Director, with regard to enquiries within key relationships and to/from external bodies, demonstrating a high level of professionalism and initiative. To organize medical meetings, tracking compliance data, and acting as a liaison between clinical departments. Implement an effective ‘bring forward’ system to ensure the Director has all the relevant and current papers needed for each meeting. To support meetings attended or chaired by the Medical Director. The post holder will minute meetings and will manage all aspects of meeting papers, including preparation of reports/presentations. Qualifications and Training Advanced keyboard skills. B.Sc/ HND in Business / secretarial / administrative qualification or equivalent. Previous experience: of working in an NHS or Health Care setting. Ability to manage multiple tasks simultaneously, solve problems, and manage and meet deadlines, whilst maintaining a high quality of work and attention to detail. Proven relevant Secretarial/administrative experience: working for a senior manager/director in a busy environment. Excellent IT skills and experience: of Microsoft Office software. Excellent written and verbal communication and interpersonal skills. Proven experience: taking clear and understandable meeting minutes. Personal qualities and attributes: Courteous, respectful and helpful at all times. Excellent interpersonal and communication skills and strong team working ability. Flexible and adaptable - willing to work in a busy office environment, in a changing environment. Tactful and diplomatic, including ability to remain discreet working with confidential matters. Organised, systematic, and flexible. Ongoing commitment to personal development. Positive attitude towards innovations and change. Other: Ability to work on own initiative and without day-to- day supervision. Ability to produce work to a high standard of accuracy. Ability to work flexibly in relation to the operational times of all our services (which may include some unsocial hours). Able to identify and take the initiative when prioritising and planning the Director’s workload. Ability to see beyond the task in hand, to use systems with creativity to meet new demands. Ability to travel to other BrisDoc and external sites for meetings. Ability to prioritise, plan own workload, and to tight deadlines. Project management experience. Ability to influence other individuals and agencies in a positive and respectful manner. Knowledge of NHS processes and procedures.
