We are recruiting to fill the position below: Job Title : Executive Assistant to the Founder (Intern) Location : Lagos, Nigeria Work mode: Hybrid Reports to: Founder, SustyVibes Working Hours: 20 hours per week (flexible schedule) Contract Type: Internship (6 months, renewable based on performance and organisational needs) Role Summary The role helps ensure that priorities are tracked and logistics are handled efficiently, allowing the Founder to focus on strategic leadership and organisational growth. Working closely with Sustyvibes’ Founder, the intern will assist with task management, calendar coordination, meeting preparation, basic reporting and presentation support, and email and social media management. The Executive Assistant to the Founder (Intern) provides administrative support to the founder on day-to-day tasks. We are seeking a candidate who is kind, creative, understands the pressures a Founder faces, follows up the first time, and pays close attention to detail. This role is ideal for someone highly organised, detail-oriented, proactive, and interested in gaining exposure to executive coordination within a fast-paced, mission-driven organisation. What You’ll Do Executive Office & Strategic Support/Coordination: Support scheduling, preparation, and documentation of Board of Trustees and Advisory Board meetings. Support coordination of senior leadership meetings, including agenda setting and minutes. Represent the Founder at selected meetings or events where required, ensuring accurate communication of key messages and feedback. Prepare briefing documents, talking points, and summaries for high-level meetings and engagements. Track Board action points and ensure timely follow-up across leadership. Manage the Founders calendar, priorities, and scheduling to ensure alignment with organisational strategy. Draft simple responses or follow-up messages where appropriate. Assist with screening and organising incoming emails and messages. Help ensure timely communication between the Founder and internal teams. Make and coordinate calls on behalf of the Founder, ensuring clear communication and appropriate follow-up with stakeholders. External Relations & Communications Support: Ensure timely and professional communication with key stakeholders. Support documentation of external engagements and partnership discussions. Support with website and social media management, ensuring full visibility of the founder’s activities. Assist in preparing reports, proposals, and correspondence for partners and funders. Coordinate logistics for high-level stakeholder meetings, donor engagements, and external events. Operational & Personal Support: Support travel planning by helping research flights, accommodation, and event logistics. Ensure confidentiality and discretion in handling sensitive tasks and information. Provide personal administrative support as needed, including shopping Assist with preparing travel schedules and meeting itineraries. Support expense documentation and administrative processes linked to the Executive Office. Maintain organised filing systems (digital and physical, where applicable). Cross-Functional Coordination: Support alignment between the Executive Office and Operations, Finance, Programs, and People & Culture teams. Provide administrative support to ensure commitments and deliverables are documented and monitored. Liaise with Heads of Departments to gather information required for reporting and decision-making. Help streamline workflows within the Executive Office to improve efficiency and clarity. Help track tasks, deadlines, and follow-ups from meetings involving the Founder. Systems & Process Support: Provide feedback to strengthen coordination and team efficiency. Support the adoption and use of digital collaboration tools such as Google Workspace, ClickUp, and Zoom.
