The Spare Parts Officer is responsible for managing the availability, storage, issuance, and proper documentation of spare parts and technical components. The role ensures that spare parts are accurately recorded, properly stored, readily available for repairs and maintenance, and efficiently controlled to minimize stock losses and downtime. Key Responsibilities: Monitor fast-moving, slow-moving, and obsolete spare parts. Monitor stock levels and initiate replenishment requests when items reach minimum stock levels. Liaise with Procurement, Warehouse, Finance, and Technical teams to ensure timely availability of required parts. Receive, inspect, and record incoming spare parts and accessories. Ensure compliance with company policies and inventory control procedures. Ensure spare parts are stored under appropriate conditions to prevent damage or deterioration. Ensure proper identification, labeling, storage, and organization of spare parts. Maintain proper documentation for all spare parts transactions. Support the service team by ensuring critical spare parts are available when required. Conduct regular physical stock counts and reconcile physical quantities with system records. Maintain accurate records of spare parts received, issued, returned, and transferred. Issue spare parts to technicians and service personnel based on approved requests. Assist in preparing periodic inventory and stock movement reports. Maintain a clean, safe, and organized spare parts store. Investigate and report discrepancies, damages, shortages, or obsolete parts. Key Requirements: Strong organizational and problem-solving skills. Ability to work independently and effectively under pressure. HND/B.Sc. in Accounting, Supply Chain Management, Business Administration, Mechanical Engineering, or a related field. Ability to identify different spare parts and understand basic technical specifications. Good communication and interpersonal skills. Strong attention to detail and record-keeping skills. Good knowledge of inventory control and stock management procedures. Minimum of 3 years of experience: in spare parts, inventory, warehouse, or stock management. Ability to use ERP/inventory management systems and Microsoft Excel.
