We are looking to hire a highly skilled and experienced Administrative Secretary who will provide high-level administrative and secretarial support to Partners and other fee-earners within the firm to enable them to operate at optimum efficiency. The Administrative Seceratary’s role goes beyond routine secretarial/administrative tasks as they need critical time management, problem-solving and analytical skills, an eye for detail, and the ability to function as a trusted partner with the Executives they support. Responsibilities: Facilitate effective and timely communication on behalf of Partners with Clients and other parties. Assist Partners in prioritizing their day, including meetings, appointments, correspondence, and other important tasks, ensuring they stay on schedule. Provide cost-effective administrative and secretarial support to the partners and other fee-earners to enable them to operate at optimum efficiency. Provide calendar management for Partners, including daily agendas and scheduling. Maintain an effective filing system for legal documents and correspondence. Oversee the production of legal documents, coordinating with internal teams and external parties as necessary. Track legal and billable activities and review invoices and payments to ensure timely processing. Other tasks as assigned Prepare and draft documents, ensuring accuracy and adherence to appropriate standards. Coordinate logistics for legal meetings, conferences, and events, preparing materials, arranging catering, and coordinating travel as needed. Monitor deadlines and ensure the timely filing of legal documents, maintaining compliance with regulatory requirements: and court procedures. Reporting Line: The Administrative Secretarywill report to the Practice Manager. Qualifications Exemplary professionalism and the ability to handle confidential information with the utmost discretion.
