We are looking for: We are seeking an experienced and innovative Executive Assistant to provide high-level administrative, scheduling, and coordination support to executive leadership, ensuring smooth day-to-day operations of the executive office. Responsibilities: What will you do: Prepare, review, and coordinate executive correspondence, reports, presentations, briefing materials, and other business documentation. Serve as the primary liaison between the executive office and internal / external stakeholders, fostering strong professional relationships and effective communication. Manage executive calendars, appointments, meetings, and travel arrangements to maximize productivity and ensure effective time management. Coordinate logistics for meetings, conferences, business events, and travel, ensuring seamless execution and stakeholder satisfaction. Anticipate executive needs, proactively resolve issues, and recommend process improvements to enhance operational efficiency and business effectiveness. Organize and facilitate executive and Board meetings, including agenda preparation, minute-taking, action tracking, and follow-up on key decisions. Monitor and follow up on executive action items, projects, and strategic initiatives to ensure timely completion and achievement of objectives. Qualifications What you bring: Strong problem-solving, decision-making, and stakeholder management capabilities in a fast-paced environment. 5 years Prior experience: supporting executives in a fast-paced, corporate or financial-services environment preferred. Proficiency in Microsoft Office 365 Suite, including Word, Excel, PowerPoint, Outlook, and Teams. Ability to handle confidential and sensitive information with discretion, integrity, and professionalism. Bachelor's Degree in Business Administration, Secretarial Studies, or a related field (required for Senior Specialist level); OND / HND acceptable for Specialist level with relevant experience. High attention to detail, adaptability, and the ability to work under pressure while maintaining accuracy and quality Relevant administrative or executive-support certification is an advantage. Exceptional organizational, planning, and time management skills with the ability to manage multiple priorities effectively. Strong verbal and written communication skills, with the ability to engage and influence diverse stakeholders. Demonstrated expertise in executive calendar management, travel coordination, and meeting administration.
