Job Summary The role oversees preventive, corrective, and predictive maintenance programmes covering electrical systems, plumbing, HVAC, elevators, generators, water treatment systems, swimming pools, fire protection systems, kitchen equipment, guest room facilities, public areas, landscaping, and other building services. The Facility Manager ensures maximum equipment reliability, regulatory compliance, energy efficiency, and asset preservation while minimising operational downtime and maintenance costs. The Facility Manager is responsible for planning, directing, coordinating, and managing the operation, maintenance, safety, and continuous improvement of all hotel buildings, infrastructure, utilities, equipment, and physical assets to ensure a safe, functional, efficient, and aesthetically pleasing environment consistent with the standards of a superior luxury hotel. Working closely with the Operations Manager, Executive Housekeeper, Director of Food & Beverage, Security Manager, IT Manager, and other department heads, the Facility Manager supports uninterrupted hotel operations, exceptional guest experiences, and long-term asset sustainability. Responsibilities: Facilities & Building Management: Ensure all guest rooms, public areas, back-of-house facilities, restaurants, bars, conference rooms, spa, gym, swimming pool, offices, and staff facilities remain in excellent operating condition. Conduct routine inspections to identify maintenance needs and facility improvement opportunities. Plan, coordinate, and supervise the maintenance and operation of all hotel buildings, infrastructure, and facilities. Ensure all physical assets are maintained to superior luxury hospitality standards. Coordinate maintenance schedules to minimise operational disruptions. Maintain accurate records of building conditions, repairs, and maintenance history. Preventive & Corrective Maintenance: Coordinate corrective maintenance activities and emergency repairs. Develop and implement comprehensive preventive maintenance programmes. Monitor maintenance schedules to ensure timely completion: Reduce equipment downtime through proactive maintenance. Maintain maintenance logs, schedules, and asset histories. Ensure all maintenance work complies with manufacturer specifications and industry best practices. Mechanical, Electrical & Plumbing (MEP) Systems : Coordinate maintenance of elevators, escalators, and automatic doors where applicable. Monitor boilers, pumps, water treatment systems, and pressure systems. Ensure uninterrupted utility services throughout the hotel. Ensure HVAC systems operate efficiently and provide optimal guest comfort. Supervise plumbing systems, water supply networks, sewage systems, drainage, and sanitary installations. Oversee maintenance of electrical systems, generators, transformers, switchgear, lighting, and power distribution systems. Engineering & Technical Services : Support installation, commissioning, and testing of new equipment. Maintain technical documentation, manuals, and maintenance procedures. Supervise engineering and maintenance personnel. Allocate daily maintenance assignments and monitor work completion. Coordinate technical troubleshooting for equipment failures. Ensure maintenance requests are attended to within agreed service timelines. Asset Management : Coordinate periodic asset inspections. Develop replacement and refurbishment plans. Safeguard hotel assets against misuse, neglect, and deterioration. Monitor asset performance, condition, and useful life. Maintain an accurate register of all hotel facilities, plant, machinery, and engineering assets. Recommend capital replacement projects based on equipment condition and operational requirements. Energy & Utility Management : Monitor generator fuel consumption and efficiency. Develop and implement energy conservation initiatives. Promote sustainable facility management practices. Ensure uninterrupted utility supply during hotel operations. Monitor electricity, diesel, gas, water, internet, and other utility consumption. Analyse utility usage trends and recommend cost-saving measures. Budgeting & Cost Control : Recommend cost-effective maintenance solutions. Review maintenance contracts and service agreements. Monitor maintenance expenditures against approved budgets. Prepare annual facilities and maintenance budgets. Control maintenance costs while maintaining quality standards. Prepare periodic maintenance cost reports. Monitor spare parts inventory and procurement costs. Contractor & Vendor Management : Supervise outsourced maintenance activities. Ensure contractors comply with hotel safety and operational standards. Evaluate contractor performance and compliance with service level agreements. Coordinate tendering and procurement of maintenance services where required. Manage relationships with contractors, consultants, and service providers. Verify contractor work before approval of payments. Health, Safety & Regulatory Compliance: Conduct facility safety inspections and risk assessments. Ensure compliance with building regulations, fire safety standards, occupational health and safety requirements, and environmental regulations. Coordinate routine fire safety inspections and emergency preparedness activities. Promote a safe working environment for guests, employees, and contractors. Ensure fire alarm systems, extinguishers, hydrants, sprinklers, and emergency lighting remain operational. Investigate maintenance-related incidents and recommend preventive measures. Housekeeping & Operational Support : Maintain the aesthetic appearance of hotel facilities. Minimise guest inconvenience during maintenance activities. Support room refurbishment and renovation projects. Ensure rooms taken out of service for maintenance are returned promptly. Coordinate with Housekeeping to ensure prompt resolution of maintenance requests in guest rooms and public areas. Security Systems & Building Services : Ensure perimeter lighting and emergency systems remain operational. Coordinate maintenance of CCTV infrastructure, access control systems, intercoms, public address systems, and electronic security systems in collaboration with the IT and Security Departments. Support security initiatives through effective facility management. Maintain backup power systems supporting security operations. Renovation & Capital Projects : Plan, coordinate, and supervise renovation, refurbishment, and expansion projects. Coordinate consultants, contractors, and suppliers. Ensure projects comply with approved specifications. Participate in commissioning and handover processes. Monitor project timelines, quality, and budgets. Report project progress to Management. Team Leadership & Staff Development: Recruit, supervise, coach, mentor, and evaluate facility maintenance personnel. Conduct performance evaluations. Promote teamwork, safety, accountability, and continuous improvement. Identify technical training requirements. Prepare duty rosters and work schedules. Develop succession plans for key technical positions. Reporting & Administration: Monitor departmental KPIs. Prepare daily, weekly, monthly, quarterly, and annual maintenance reports. Maintain maintenance records, asset registers, service contracts, inspection reports, and statutory certificates. Prepare management reports on maintenance performance, asset condition, and operational risks. Maintain complete engineering documentation. Compliance & Continuous Improvement : Continuously review maintenance processes for operational improvement. Implement preventive maintenance improvements. Promote environmental sustainability and waste reduction. Participate in internal and external audits. Recommend innovative technologies that improve efficiency and sustainability. Ensure compliance with company policies, engineering standards, and regulatory requirements. Requirements: Bachelor's Degree in Mechanical Engineering, Electrical Engineering, Civil Engineering, Building Services Engineering, Facility Management, Estate Management, or a related discipline. Experience: in a superior luxury hotel or internationally branded hospitality establishment is highly preferred. A Master's Degree is an added advantage. At least 5 years in a supervisory or managerial role within a reputable hotel, commercial property, hospital, or large facility. Minimum of 7–10 years of progressive facilities or engineering management experience. Professional Certifications (Preferred) • COREN Registration (where applicable). IFMA Certified Facility Manager (CFM) or FMP. Energy Management Certification is an added advantage. NSE Membership. IOSH or NEBOSH Health & Safety Certification.
