Our client is seeking to hire an experienced and highly organised Admin Manager to oversee its administrative operations and ensure the smooth and efficient running of its office, facilities and administrative support functions. The successful candidate will be responsible for developing and maintaining effective administrative systems, coordinating vendors and service providers, managing company assets and facilities, overseeing vehicle-related administrative documentation, supporting procurement and logistics, and ensuring that important operational records, licences, insurance policies and renewals are properly managed. This role requires someone who is proactive, highly organised and able to create systems that improve efficiency, accountability and cost control across the organisation. Key Responsibilities: The Admin Manager will: Oversee the day-to-day administrative operations of the company and ensure that administrative activities are carried out efficiently. Develop, implement and continuously improve administrative policies, processes and standard operating procedures. Manage the company's office facilities, including utilities, security, cleaning, maintenance, office equipment and other support services. Maintain proper physical and digital filing systems for corporate, administrative, vehicle, vendor, insurance, procurement and operational documents. Coordinate and maintain records relating to company vehicles, including registration, insurance, licences, roadworthiness, maintenance and other relevant documentation. Maintain an effective tracking system for vehicle documents, licences, insurance policies, permits and other time-sensitive obligations to ensure renewals are completed before expiration. Maintain an accurate register of company assets, including vehicles, computers, phones, equipment, furniture and other company property. Coordinate the assignment, movement, maintenance and retrieval of company assets. Manage administrative procurement, including sourcing vendors, obtaining quotations, negotiating where appropriate and ensuring approved goods and services are delivered according to agreed requirements. Develop and maintain a reliable database of approved vendors and service providers and monitor their performance. Coordinate official transportation, dispatches, deliveries, meetings, travel arrangements, and other logistical requirements. Monitor administrative expenditure and work with the Finance team to ensure proper documentation, accountability, and cost control. Support management in preparing administrative budgets and identifying opportunities to reduce unnecessary operating costs. Supervise Admin Officers, drivers, office assistants, and other administrative or support personnel assigned to the department. Establish clear responsibilities, work schedules, and performance expectations for administrative staff. Ensure management instructions and administrative action points are properly documented, followed up and completed within agreed timelines. Prepare periodic administrative and operational reports for management. Work closely with Operations, Finance, HR, Sales and other departments to ensure effective coordination across the business. Requirements: & Qualifications Candidates should possess: B.Sc. or HND in Business Administration, Management, Public Administration or a related discipline. Minimum of 5 years of relevant administrative experience, preferably with supervisory or management responsibility. Previous experience: in an automobile, vehicle leasing, logistics, transportation, fleet management, or other asset-intensive organization will be a strong advantage. Strong knowledge of office administration, facilities management, procurement, vendor management, and records management. Strong proficiency in Microsoft Office, Google Workspace and other relevant digital productivity tools. Good understanding of administrative budgeting and cost control. Strong documentation, reporting, and record-keeping skills. Excellent written and verbal communication skills. Strong organizational and time-management abilities.
