The role is responsible for facilities maintenance, vendor management, health and safety compliance, space and asset management, and ensuring the overall functionality and safety of the organization's physical work environment. The ideal candidate will provide reliable facility support to enable smooth business operations while maintaining strong service standards and compliance with statutory and regulatory requirements. Key Responsibilities: Facility Operations and Maintenance Support the coordination of day-to-day facility operations, including preventive and reactive maintenance schedules across all office and business locations. Coordinate core facility activities and ensure timely resolution of maintenance requests and building-related issues. Consolidate facility status reports across group locations and ensure compliance with applicable safety and building standards. Provide value-added facility and operational reports to support informed decision-making by senior management. Assist in the preparation and presentation of facility information for internal and external reporting purposes. Vendor and Service Provider Management Maintain and periodically review vendor and service contracts to ensure they effectively support facility performance and operational efficiency. Establish and enforce strong service-level standards across cleaning, security, maintenance, and other outsourced facility services. Review vendor performance and service delivery, and recommend improvements to enhance efficiency and cost-effectiveness. Manage facility service records and ensure proper documentation and reconciliation of vendor invoices and deliverables. Space and Asset Management Support space planning and utilization activities, including office layout, seating allocation, and space optimization. Provide weekly updates on facility asset status and equipment condition. Perform weekly and monthly facility and asset inspections to ensure accuracy of asset registers and equipment records. Regulatory Compliance and Statutory Reporting Ensure compliance with applicable health, safety, environmental (HSE), and building regulations, statutory requirements, and internal facility policies. Manage statutory permits and certifications, including fire safety, building compliance, and other regulatory approvals. Support the implementation and monitoring of facility policies and procedures to ensure consistent and safe operations across entities. Operational Support Process and post facility-related payment requisitions and maintain proper documentation for facility transactions. Assist in providing facility information for various reporting entities within the group. Support the development and implementation of sound facility management controls, procedures, and policies. Perform other corporate services–related duties as assigned by the line manager. Qualifications and Experience: Bachelor's Degree in Facility Management, Estate Management, Engineering, Business Administration, or a related discipline. Professional certification in Facility Management (e.g., IFMA) is an added advantage. Minimum of four (4) years of relevant professional experience: in facility or corporate services roles. Strong working knowledge of Microsoft Excel and other Microsoft Office applications. Sound understanding of health, safety, and facility management best practices.
