We are recruiting to fill the position below: Job Title: Senior Supply Chain Officer Location: Abuja (FCT) Objectives The Finance Directorates oversees the Inventory aspect of his / her responsibility. The Senior Supply Chain Officer will work other units within MSI Nigeria Reproductive Choices (MSIN) to drive the management of Social Marketing activities. The holder of the role will follow up on all services required to support the Social Marketing Unit from Fleet, Logistics, Inventory, Procurement and other administrative support in which the Finance and Procurement directorate oversees the technical aspect and Management support from Social Marketing directorate. The role holder will also provide liaison responsibility for MSIN in Lagos as the need arises. Responsibilities: International Procurement for Social Marketing: Resolve issues with regulatory agencies. Ensure the clearing agent has been contracted for the clearing of consignment before the Estimated Date of Arrival (EDA). Prepare PRF for international Procurement considering the lead time for shipment. Work with inventory to ensure final delivery point and grid as the need arises. Ensure approval of all international PO and follow-up with shipment. Follow-up with P&L to ensure all document for clearing of consignment is complete and you have copies. Local Procurement for Social Marketing: Work with PILAM to prepare RFQ documents and send them out to vendors. Retrieval and download of Data logger and share report with ASO I &A unit alongside the LSO GRN. Support in the implementation and realization of the SM sales and distribution plan through working with Inventory and Social Marketing. Manage the Dispatch tracker Support on any NAFDAC / Customs issues in Lagos. Take delivery of the containerized SM products cleared in Lagos into MSION warehouse or third-party warehouse. Supporting in the planning of stock in warehouse, stock in transit and accurate Forecasting. Participate in SM Procurement Committee Meetings. Support clearing agent in the release and transportation of items from the port to the warehouse. Coordinate all Port activities in Lagos. Manage the usage of the daily vehicle checklist / Fleet visit. Logistics and Fleet Management of SM vehicles: Work with inventory for commodity plan and forecasting to ensure zero stockout. Daily enforcing the use of Total Fuel card and manage any query on total platform. Ensure there are Commercial service agreement (contracts) for vehicle maintenance service and repairs CPFR (Collaborative Planning, Forecast & Replenishment) Report. Enforcing Routine vehicle checks by drivers using vehicle daily checklist. Ensure prompt settlement of all routine and statutory bills for regional and state offices (electricity, water, environmental sanitation etc.). Ensure quarterly fumigation and deep cleaning is carried out in a regional and states offices. Daily managing and allocating vehicle fleet for service delivery and transportation requirements. Ensure prompt settlement of payment for third-party invoices associated with corporate services unit deliverables (Hotels, facility management, janitorial, security and all ancillary services). Critical Stock Report. Efficiently setting and monitoring stock dispatch, drivers and fleet controls: authorized use of vehicles; key control; logbooks; fuel cards; tools and equipment. Enforcing, Reporting and repair of vehicle defects; original spare parts only. Maintaining vehicle incident register and cause statistics. Provide regular feedback, guidance and support to the Regional Manager and Logistics & Fleet Management Coordinator on appropriate actions which need to be undertaken to improve performance and guide on trip movement / retirement. Scheduling service Intervals with adherence to A-B-C servicing requirements. Preparation and submission of vehicle incident reports, supporting documents and cause analysis statement. Advising on the most efficient and cost-effective way of regional stock dispatch and distribution at the right quantity, right quality, right time, right temperature, right place and right person. Preventive maintenance and repairs carried out by a professional service provider. Establishing high level of mechanical awareness by service providers. Give monthly report on expired drugs and medical consumables. Ensuring Vehicles are in roadworthy condition, and serviced on time @ 5,000km. Managing vehicle incidents. Notifications of incidents to country and global levels. Work with RFOs to carry out monthly cycle count to determine Critical Stock consumption rates and interpreting same into the following reports; Maintaining GWP (Good Warehouse Practice) and HSE (Health, Safety & Environment) standards through tidy shelving, racking system / store arrangement, FEFO (First Expired First Out), FIFO (First In First Out), Stock Codification / labelling. TrackPoint – entry of incident information. Required Qualifications Membership of relevant professional body. Critical thinking and problem-solving skills. Team player with passion for work and desire to generate results. Familiarity with the different cultural, social and religious identities in Nigeria, international health, development issues and the international donor community. Not less than 6 years post-graduation experience. Ability to simultaneously coordinate multiple, high-priority projects. Excellent written and verbal communication skills. Self-starter, with project management skills. Valid Driver’s License. A working knowledge of Tally, Liza Personnel or other Employee Self Service solutions. A First Degree in Administration, Management, Humanities, Social Sciences or related discipline. Excellent interpersonal skills and ability to interact with colleagues at all levels. Previous cognate experience: in any of these functions: Human Resource, Administration, Procurement, Information Technology, Inventory & Assets Management. Strong analytical and reporting capabilities – this means pulling data from various sources into excel and other applications and turning generated data into actionable information.
