The post-holder will support workplan tracking, meeting coordination, partner communication, activity logistics, documentation, reporting and routine compliance processes. The post-holder will contribute to inclusive and safe delivery by applying safeguarding, confidentiality, accessibility and ethical-conduct standards in all assigned responsibilities. The Programme Associate will provide structured coordination, administrative and analytical support for the effective delivery of PricePally's programme activities. Working across programme functions and locations, the Programme Associate will maintain clear information flows, follow up agreed actions and help ensure that deadlines and documentation requirements: are met. The role will help translate approved plans into organised actions, accurate records, timely follow-up and well-prepared information for programme decision-making. Task and Responsibilities: Programme Planning, Coordination and Follow-up: Provide concise coordination updates and highlight emerging delivery issues that require management attention. Coordinate routine follow-up with functional and field teams to confirm progress, upcoming deadlines, dependencies and required decisions. Maintain programme calendars and support the scheduling of reviews, technical sessions, partner meetings, field activities and management checkpoints. Support the preparation, consolidation and periodic updating of programme workplans, implementation calendars, activity schedules and action trackers. Track agreed actions, responsible persons and due dates, issuing timely reminders and escalating overdue or blocked items through approved channels. Support preparation for programme activities by confirming agendas, participants, venues, materials, accessibility requirements: and logistics. Meeting, Stakeholder and Partnership Support: Ensure engagement arrangements consider the access, safety and participation needs of women, persons with disabilities, IDPs and other participants. Follow up partner commitments, information requests and meeting decisions, maintaining a clear record of responses and outstanding actions. Organise internal and external programme meetings, including invitations, agendas, briefing materials, attendance records, minutes and action logs. Maintain up-to-date stakeholder, partner and contact records, ensuring information is handled in accordance with confidentiality and data-protection requirements. Prepare background notes, presentation materials, talking points and information packs for programme engagements and management meetings. Support professional and timely communication with implementation partners, government stakeholders, service providers and other authorised programme actors. Documentation, Reporting and Information Management: Maintain an orderly electronic and physical filing system for approved plans, reports, correspondence, agreements, meeting records and activity evidence. Protect confidential, personal and safeguarding-related information and share it only with authorised personnel through approved systems. Support the collection, consolidation and quality review of narrative inputs from programme teams for periodic reports and management updates. Draft routine correspondence, activity summaries, meeting notes, progress updates and other programme documents for review and approval. Apply document-control practices, including clear naming, version management, approval records, restricted access and timely archiving. Coordinate requests for information and evidence, checking submissions for completeness, consistency and alignment with approved templates. Activity, Monitoring and Learning Support: Compile simple progress summaries, action dashboards and presentation materials using verified information from responsible teams. Work with monitoring and field colleagues to reconcile attendance records, activity documentation, feedback and other routine programme information. Support documentation of lessons, case studies, success stories and implementation tools while respecting consent, dignity and confidentiality. Support programme teams to maintain complete participant, activity, output and evidence records within required reporting timelines. Assist with the administration of feedback tools, learning sessions, surveys, assessments and follow-up actions in accordance with approved protocols. Track management responses to monitoring findings, participant feedback and agreed corrective actions until closure. Administration, Logistics and Resource Support: Liaise with Finance, Human Resources, Operations and service providers to obtain required documentation and resolve routine administrative issues. Prepare routine activity requests, travel documentation, procurement support papers and administrative schedules in line with approved plans and procedures. Promote value for money by planning requirements: early, using approved vendors and avoiding preventable changes, duplication or waste. Coordinate approved travel, venue, accommodation, materials, accessibility and related logistical arrangements for programme activities. Maintain accurate records of programme materials, assigned equipment and administrative resources under the role's custody or coordination. Check invoices, attendance lists, delivery notes and supporting documents for completeness before submitting them through approved review channels. Communication, Teamwork and Professional Conduct: Build constructive working relationships across programme teams and provide responsive, respectful and dependable coordination support. Raise delivery, ethical, safeguarding, data-quality and administrative concerns promptly through approved channels. Contribute to a collaborative, inclusive and learning-focused culture while maintaining discretion and appropriate professional boundaries. Manage competing priorities, maintain agreed service standards and seek clarification promptly where instructions or approvals are incomplete. Participate in relevant orientation and periodic training on safeguarding, PSEA, inclusion, health and safety, data protection and the Code of Conduct. Communicate clearly and professionally, adapting information for management, technical, partner and community audiences as appropriate. Safeguarding and Duty of Care: Ensure safe, confidential and accessible reporting and referral pathways are established for staff, partners, participants and communities. Promote safe programming through risk assessment, partner due diligence, informed consent, responsible data management and routine compliance checks. Ensure safeguarding concerns are escalated immediately through approved channels and managed using survivor-centred, confidential and non-retaliatory practices. Demonstrate visible leadership for a zero-tolerance approach to sexual exploitation, abuse, harassment, discrimination, bullying, retaliation and abuse of power or trust. Requirements: Education: Training in safeguarding, data protection, monitoring and evaluation, event coordination or records management is an advantage. Relevant postgraduate training or a recognised professional qualification in project management, administration or development practice is desirable. Bachelor's Degree in Business Administration, Project Management, Development Studies, Public Administration, Social Sciences, Agriculture or another relevant discipline. Experience: supporting procurement, travel, events, partner engagement or programme monitoring processes is an advantage. Experience: in Nigeria's agriculture, food systems, livelihoods or market-development context is desirable. Experience: applying gender equality, disability inclusion, youth participation, confidentiality and safeguarding principles in programme support. Demonstrated experience: coordinating information and deliverables across multiple teams, stakeholders or locations. Proven experience: supporting workplans, meetings, activity logistics, documentation, reporting and action tracking in a structured organisation. Experience: working within an externally funded, multi-partner, private-sector or development programme environment is desirable. At least four (4) years of progressively responsible experience: in programme coordination, project administration, operations support, development programming or a related field. Other Requirements: Existing legal right to live and work in Nigeria. Appointment will be subject to satisfactory references, identity and qualification verification, conflict-of-interest disclosure and applicable background, safeguarding, criminal-record and counter-terrorist-financing checks. Willingness and ability to travel regularly to programme locations, subject to approved duty-of-care and security arrangements. The position is offered on a 3-year fixed-term contract, subject to confirmation of the programme award, execution of the relevant partnership arrangements and continued availability of funding.
