The role combines Administration Manager and Executive Assistant responsibilities, with significant emphasis on administration operations, stakeholder coordination and practical problem-solving.
Reporting directly to the Managing Director for Nigeria, you will provide comprehensive administration and executive support that enables the effective delivery of business priorities.
You will manage complex administrative requirements, including expatriate immigration cases, and identify alternative solutions when external service providers are unable to deliver as expected.
You will also ensure that the Managing Director’s time, engagements and priorities are effectively coordinated.
Key Responsibilities
- Support governance, document control, budget administration, purchase requests, supplier coordination, reporting and cross-functional business initiatives.
- Organise leadership meetings, town halls, customer visits, workshops, executive visits and strategic events, including all related logistics.
- Track business decisions, executive priorities, milestones and action items, ensuring appropriate follow-up and timely completion.
- Manage the Managing Director’s calendar, appointments, leadership meetings, customer engagements, regional reviews and competing priorities.
- Coordinate communication between the Managing Director, leadership team, customers, suppliers and regional stakeholders while maintaining confidentiality.
- Prepare agendas, presentations, briefing documents, executive summaries and meeting materials for leadership and business reviews.
- Coordinate travel arrangements, visas, expatriate immigration cases, accommodation, itineraries and expense reporting, providing practical solutions when service issues arise.
- What We Are Looking For
- Bring at least five years of
Experience
supporting senior executives, preferably Managing Directors, Country Managers or C-suite leaders.
Work confidently with Microsoft Office 365, including Outlook, Teams, Word, Excel, PowerPoint, SharePoint and Copilot.
within a multinational organisation and a general understanding of shipping or logistics will be advantageous.
Hold a Bachelor’s Degree in Business Administration, Management, Communications or a related discipline.
