Job Summary
The Contracts & Procurement Specialist is responsible for managing the company's tender, contract administration, and procurement activities, ensuring that tender opportunities, submissions, contracts, and procurement requirements are effectively managed from initiation through completion.
Key Responsibilities
- Manage end-to-end tender and bid activities on platforms including SAP Ariba, Smart GEP, Nipex, and similar e-procurement platforms.
- Review, analyse, and interpret tender documents, RFQs, RFPs, ITTs, contracts, specifications, and commercial requirements.
- Coordinate the preparation and timely submission of complete and compliant technical, commercial, and supporting bid documents.
- Manage procurement activities including vendor sourcing, quotation evaluation, market price analysis, commercial negotiations, and purchase orders.
- Manage contract administration, including monitoring contractual obligations, deliverables, validity periods, renewals, variations, and close-out.
- Maintain and manage tender, contract, and procurement records using Google Drive, Docs, Sheets, Forms, and other relevant digital tools.
- Monitor tender, contract, and procurement pipelines, ensuring timely follow-up, action, and closure.
- Liaise with clients, vendors, and relevant internal departments to obtain required information and resolve tender, contractual, and procurement matters.
- Prepare relevant reports, commercial evaluations, and management updates on tender, contract, and procurement activities.
- Minimum Requirements
- Education: Bachelor's degree/HND in Procurement, Supply Chain, Business Administration, Engineering, Economics, or a related field.
- Experience: Minimum 5 years' relevant experience in tendering, contracts, and procurement, preferably within the Oil & Gas industry.
- Demonstrable hands-on experience using SAP Ariba, Smart GEP, Nipex, or similar electronic tendering/procurement platforms.
- Proficiency in Google Workspace and Microsoft Office, particularly Excel.
- Strong commercial judgement, analytical, and negotiation skills.
- Strong written and verbal communication skills, with excellent attention to detail.
- Ability to independently manage multiple assignments, deadlines, and stakeholders.
- Relevant professional certification such as CIPS or CIPSMN is an advantage.
