Job Summary
The Executive Assistant will serve as a key support function within the Executive Office, working closely with the CEO to ensure effective management of executive priorities and daily activities.
The role requires a candidate who can anticipate the CEO's needs, manage competing priorities, maintain confidentiality, coordinate internal and external engagements, and ensure that assigned actions are followed through to completion.
The Executive Assistant will also serve as an important link between the CEO and internal teams, clients, partners, consultants, and other stakeholders.
Key Responsibilities
Executive & Calendar Management:
Send meeting reminders and ensure necessary materials are available.
Coordinate travel, accommodation, and logistics when required.
Schedule and coordinate internal and external meetings.
Prioritize appointments based on urgency and strategic importance.
Prepare the CEO's daily and weekly schedule.
Manage the CEO's calendar, appointments, meetings, and engagements.
Correspondence & Communication:
Manage and organize incoming and outgoing executive correspondence.
Draft emails, letters, memos, reports, and other executive documents.
Handle sensitive communication with discretion.
Follow up on correspondence and outstanding responses.
Maintain professional communication with clients, partners, consultants, and stakeholders.
Meeting & Follow-Up Support:
Maintain an executive action tracker.
Follow up with responsible team members on outstanding action items.
Prepare meeting agendas and supporting documents.
Attend meetings where required and take accurate minutes.
Record decisions, action points, responsibilities, and deadlines.
Executive Administration:
Manage confidential documents and information.
Maintain organized electronic and physical executive records.
Prepare presentations, briefing notes, reports, and executive summaries.
Assist with research and information gathering for the CEO.
Support preparation for management and strategic meetings.
Stakeholder & Relationship Coordination:
Support client and partner engagements.
Maintain an organized stakeholder/contact database.
Support relationship management activities as assigned.
Coordinate communication between the CEO and key stakeholders.
Schedule stakeholder meetings and follow-ups.
Task & Project Coordination:
Support special projects initiated by the CEO.
Prepare weekly status updates on pending executive actions.
Track strategic and operational tasks assigned by the CEO.
Follow up with departments to ensure timely completion of assignments.
Escalate delayed or critical matters to the CEO.
General Executive Support:
Support event, programme, and workshop coordination.
Conduct research and prepare summaries when required.
Handle official errands and administrative assignments when necessary.
Perform other duties assigned by the CEO.
Salary: N100,000 / month.
