The Opportunity

Afri-9 Group is seeking a technically grounded, disciplined and execution-focused Facility Manager to protect the reliability, safety, appearance and commercial readiness of its buildings, utilities, equipment and support infrastructure across Oil and Gas, Hospitality, and Consumer Goods Retail and Wholesale operations.

This is a hands-on institutional facilities leadership role - not merely a repair coordination position.

The successful candidate will build a preventive-maintenance culture, coordinate internal technicians and external service providers, control maintenance costs and materials, improve asset uptime, and ensure that every facility supports safe, uninterrupted and customer-ready operations.

Key Responsibilities

  • Coordinate electrical systems, generators, solar/inverter systems, HVAC and refrigeration, plumbing, water, civil works, roofing, drainage and grounds.
  • Control approved maintenance OPEX and CAPEX, quotations, variations, materials, workmanship, testing, handover and payment evidence.
  • Maintain commercial kitchens, bakery equipment, bars, grills, cold rooms, retail equipment, offices, warehouses, staff accommodation and support facilities.
  • Lead facilities management, preventive maintenance, repairs, technical response and asset-reliability planning across assigned locations.
  • Manage emergencies, downtime, safety risks and service failures with Operations, Security, HSE, Finance, Procurement and Data Analysis.
  • Produce accurate daily, weekly and monthly reports on uptime, jobs, cost, risk, utilities, vendors, assets, incidents and replacement priorities.
  • Establish work-order, inspection, preventive-maintenance, spare-parts, materials, contractor, warranty and asset-history controls.

Requirements

Practical competence in preventive maintenance, electrical/power systems, generators, HVAC/refrigeration, plumbing, civil works, fire safety and contractor control.

Strong work-order, budgeting, quotation review, asset-register, Excel, reporting and root-cause analysis capability.

High integrity, safety discipline, technical judgement, urgency, leadership, documentation and accountability

Minimum seven years of relevant facilities, engineering, building-services or maintenance experience, including at least three years in a supervisory or multi-site role.

Role Purpose

To provide one accountable facilities-management system that keeps buildings, utilities, equipment and support infrastructure safe, available, efficient, presentable and fit for commercial operations while protecting company assets, people, customers, revenue and reputation.

Business Context:

Afri-9 Group currently operates in Oil and Gas, Hospitality, and Consumer Goods Retail and Wholesale. The Facility Manager must coordinate preventive maintenance, breakdown response, service providers, asset records, utility continuity and project works across customer-facing outlets, kitchens, bakery, lounge, sports bar, supermarket, stores, offices, warehouses, fuel-service assets and other assigned facilities.

Required Outcomes

Safe & Compliant Facilities

Buildings, equipment and work areas meet approved safety, hygiene and operational standards.

Reliable Utilities

Power, water, cooling, drainage, gas and critical services support uninterrupted operations.

Preventive Maintenance

Planned inspections and servicing reduce emergencies, downtime and repeated failures.

Controlled Cost & Materials

Jobs, quotations, parts, labour, variations and payments are authorised and traceable.

Asset Visibility

Every critical asset has an owner, condition, service history, warranty and replacement status.

Professional Service Providers

Internal technicians and contractors deliver safe, timely, documented and testable work.

Authority and Boundaries:

May inspect facilities, raise work orders, schedule approved maintenance, assign technicians and recommend emergency containment actions.

May not commit company funds, vary approved scope, select a conflicted supplier, approve own payment or authorise unsafe shortcuts outside delegated authority.

May recommend repair, replacement, contractor engagement, materials, spare parts, project scope and capital priorities, subject to approval limits.

May stop unsafe equipment or work, isolate a risk where competent to do so, and escalate any condition threatening life, property, revenue or compliance.

May accept completed work only after testing, inspection, materials reconciliation, defect close-out and user confirmation.

May not conceal repeated failure, poor workmanship, downtime, missing parts, cost overrun, safety incident or incomplete work.

Operating Doctrine:

Inspect. Diagnose. Plan. Authorise. Execute. Test. Record. Reconcile. Improve.

The role operates under Publication ENIL-000. No maintenance job is complete until the work, materials, money, removed parts, testing, safety, evidence, handover and outstanding actions have been reconciled.

Principal Responsibilities

Facilities Leadership and Maintenance Strategy:

Establish one work-order, inspection, approval, execution, testing, handover and closure system across all locations.

Develop the annual, quarterly and monthly facilities plan, maintenance budget, critical-asset priorities and replacement roadmap.

Maintain the facilities authority matrix, emergency contacts, service-level standards, escalation thresholds and management decision log.

Lead daily technical reviews, weekly maintenance meetings, monthly performance reviews and quarterly asset-condition planning.

Preventive, Predictive and Corrective Maintenance:

Classify jobs as emergency, urgent, routine or planned/capital work and monitor response, downtime, completion and repeat fault.

Ensure inspections, servicing, lubrication, calibration, cleaning, testing and replacement tasks are completed and evidenced on time.

Create asset-specific preventive-maintenance calendars based on risk, manufacturer guidance, workload, condition and operating history.

Investigate repeated failures using root-cause analysis; prohibit endless temporary repairs that transfer risk or increase lifecycle cost.

Electrical, Power, Generator and Renewable-Energy Systems:

Track power availability, diesel consumption, runtime, failures and energy-efficiency opportunities with Finance and Data Analysis.

Maintain generator service, load, fuel, oil, coolant, battery, run-hour, overhaul, test and spare-parts records.

Prevent overloaded circuits, exposed wiring, unauthorised connections, bypassed protection and unsafe live work.

Coordinate electrical distribution, panels, breakers, cabling, earthing, lighting, sockets, motors, pumps, generators, ATS and approved solar/inverter systems.

HVAC, Refrigeration, Plumbing, Water and Drainage:

Implement filter cleaning, gas/leak checks, temperature monitoring, descaling, flushing and scheduled servicing.

Maintain air-conditioning, cold rooms, refrigerators, chillers, extractors, ventilation, water storage, pumps, pipes, toilets, sinks and drainage systems.

Respond promptly to leaks, blockages, water contamination, inadequate cooling, condensation and wastewater risk.

Protect food, beverages, customers and equipment through temperature, hygiene and moisture-control standards.

Civil, Building Fabric, Roofing, Grounds and Accessibility:

Escalate structural movement, major cracks, roof failure, flooding, erosion or other defects requiring specialist engineering review.

Maintain safe access, customer circulation, loading areas, parking, external lighting and weather protection.

Coordinate welding/fabrication, masonry, carpentry, painting, waterproofing, landscaping and approved renovation works.

Inspect roofs, ceilings, walls, floors, doors, windows, stairs, railings, drainage, paving, fencing, signage, paintwork and structural defects.

Equipment, Safety, Contractors, Assets & Projects

Commercial Kitchen, Bakery, Bar and Hospitality Equipment:

Partner with the Food Manager and Operations to minimise downtime, contamination risk, service delay and production loss.

Coordinate heat, gas, ventilation, electrical load, water, drainage and fire controls before installation or recommissioning.

Maintain industrial cookers, ovens, mixers, proofers, grills, extractors, fryers, warmers, dishwashing, refrigeration and service equipment.

Keep equipment manuals, warranties, service history, breakdown records and approved technician contacts current.

Fire, Safety, Security and Emergency Response

Maintain emergency response contacts and support incident containment, evidence preservation, investigation and corrective action.

Coordinate fire extinguishers, alarms, emergency lighting, exits, evacuation routes, isolation points and emergency-access readiness with the CSO/HSE function.

Ensure permits, PPE, lockout/isolation, hot-work control, ladders, lifting and restricted-area rules are applied to technical work.

Never allow speed, customer pressure or production targets to override life safety.

Contractors, Service Providers and Procurement Interface:

Obtain comparison quotations where required; declare conflicts and prevent splitting, inflated quantities or undocumented variations.

Maintain an approved service-provider register by speciality, competence, insurance/qualification where applicable, pricing, warranty and performance.

Verify work, materials and evidence before recommending payment; poor workmanship must be corrected under agreed terms.

Require inspection, written diagnosis, detailed quotation, scope, materials, labour, timeline and warranty before non-emergency work begins.

Asset, Materials, Spare Parts and Removed-Parts Control

Control spare parts, tools, materials received, issued, used, returned, damaged, wasted and balanced through approved registers.

Ensure removed or replaced components remain company property until authorised disposal or return.

Maintain the facility asset register with tag, location, custodian, condition, value, warranty, service history and next action.

Set minimum critical-spare levels and prevent stockouts, unauthorised removal and duplicate purchasing.

Cleaning, Waste, Pest Control and Environmental Standards:

Define cleaning standards and responsibilities for technical rooms, kitchens, customer areas, stores, toilets and staff facilities.

Coordinate housekeeping, deep cleaning, pest control, waste segregation, grease management, drainage hygiene and external cleanliness.

Monitor chemical use, storage, contractor performance and evidence; escalate infestation, contamination or environmental risk immediately.

Projects, Renovations and CAPEX Delivery:

Track progress, cost, variation, materials, workmanship, risks, snagging, testing, handover and post-completion defects.

Coordinate Finance, Procurement, Data Analysis, Security, Operations and users before closure and capitalisation.

Develop clear scope, BOQ, budget, schedule, responsibility matrix, material register, quality standard and commissioning plan for approved projects.

Documentation, Reporting and Continuous Improvement:

Maintain daily job updates, weekly exceptions and monthly reports covering uptime, downtime, cost, jobs, utilities, incidents, vendors and asset risk.

Preserve source records, photographs, quotations, approvals, invoices, test results, handover and warranty evidence under the approved filing system.

Use data to prioritise replacement, energy saving, training, vendor changes and preventive action.
