Job Summary
The Financial Controller is responsible for overseeing the financial operations of the hotel, ensuring accurate financial reporting, effective cost control, proper budgeting, regulatory compliance, and sound financial management.
The role involves monitoring revenue, expenses, payroll, purchasing, inventory, accounts payable and receivable, cash management, and financial performance while providing management with reliable information for business decision-making.
Responsibilities
- Financial Management:
- Maintain proper accounting records in accordance with approved accounting standards and hotel policies.
- Monitor the hotel's revenue, expenses, profitability, and cash flow.
- Prepare monthly, quarterly, and annual financial reports for management.
- Analyse financial performance and provide recommendations for improvement.
- Prepare and monitor annual budgets, forecasts, and financial plans.
- Ensure accurate recording and reporting of all hotel financial transactions.
- Oversee the day-to-day financial operations of the hotel.
- Revenue Control:
- Reconcile income from POS, hotel management systems, online bookings, bank payments, and cash collections.
- Monitor daily hotel revenue from Rooms, Food & Beverage, Events, Conference, Laundry, Spa, Gym, Bar, and other revenue-generating departments.
- Investigate revenue discrepancies and ensure timely resolution.
- Review daily revenue reports and ensure that all transactions are properly captured.
- Cost Control:
- Work closely with the Procurement and Stores departments to ensure proper purchasing and stock-control procedures.
- Monitor food and beverage costs, beverage consumption, wastage, and inventory variances.
- Review departmental expenses and identify areas of unnecessary expenditure.
- Establish and maintain effective cost-control procedures.
- Monitor hotel operating expenses and ensure spending remains within approved budgets.
- Accounts Payable & Receivable:
- Ensure that all supplier invoices are properly approved before payment.
- Reconcile supplier and customer accounts regularly.
- Monitor outstanding guest and corporate accounts.
- Maintain accurate records of all hotel liabilities and receivables.
- Supervise the processing of supplier invoices and payments.
- Follow up on overdue receivables and ensure timely collection.
- Payroll & Staff Costs:
- Ensure salaries, allowances, deductions, taxes, and statutory contributions are accurately calculated.
- Work with Human Resources to ensure accurate employee records and payroll information.
- Monitor staffing costs against the approved payroll budget.
- Review monthly payroll before final approval and processing.
- Audit & Compliance:
- Ensure compliance with applicable accounting standards, tax regulations, and statutory requirements.
- Implement effective internal controls to prevent fraud, errors, and financial losses.
- Coordinate internal and external financial audits.
- Investigate financial irregularities and report significant issues to management.
- Maintain proper documentation for financial transactions.
- Management Reporting:
- Provide financial analysis and recommendations to the General Manager and management team.
- Provide financial information to support strategic and operational decisions.
- Track key financial indicators such as:
