Job Title: Storekeeper
Location: Abuja (FCT)
Scope of Responsibilities and Accountabilities
Monitoring the store temperature and ensuring Cold Chain items are stored in an adequate temperature. Keeping a special control of “sensitive” goods: numbers of lots, expiry dates, packaging and special storage conditions
Supervising materials and goods orders and dispatch in order to ensure its rational use.
Storing materials in accordance with the system in force in order to ensure continuous availability ensuring that all items are well organised and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).
Receiving orders and deliveries, identifying and reporting potential discrepancies against cargo manifest or others. Stores materials in accordance with the system in force in order to ensure continuous availability.
Updating and/or creating stock cards for all stock items immediately after reception of goods. Checking the received cold boxes and controlling the cold chain-monitoring card
Receiving, storing, recording and issuing the logistics stock held in the MSF-OCG Abuja warehouse (vehi-cle and generator spare parts, electrical and construction materials, tools, equipment, office and hygiene supplies, and dangerous goods where held) to projects and departments.
In conjunction with the line manager, performing physical stock counts in accordance with the frequency previously defined. Following up stock levels with regards to alarms thresholds, stock out and expiry dates.
Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or theft in the warehouse
Preparing orders on time before sending goods, and packs (according to transport means) weights and labels freight with corresponding shipping number, destination, number of shipping units, way bill number, weight and mode of transport in accordance with the line manager’s instructions
The storekeeper follows MSF standards and the line manager's instructions, so that items reach projects on time, in good condition and fully documented.
Assisting the line manager with preparation of the stock reports
MSF Section / Context-Specific Accountabilities
Back up the other storekeeper during absences, in both the medical and logistics stores.
Record every stock movement in UniField with a signed supporting document, including internal transfers and any loans or donations the line manager authorises. Log equipment serial numbers for the equipment register.
Receive goods against order and delivery documents, check quantity, brand and specification with the requester or technical referent, and report any discrepancy or substitution at reception.
Protect the stock: apply key and access control, release nothing without documents, never sign both “received by” and “controlled by” on one reception, and report any gift or pressure from suppliers or transporters.
Count stock to the inventory schedule and explain every discrepancy.
Report slow-moving, obsolete, expired and damaged items to the line manager every month, and provide consumption data for AMC and order planning.
Store items safely by family, including the EPREP stock and the spare parts store, with dangerous goods segregated and expired or damaged items kept apart.
Minimum Requirements
Education:
Essential Diploma
Desirable relevant degrees or certificates or diploma in logistics, supply chain or warehouse management (desirable).
Experience
Handling technical stock: vehicle spare parts, electrical or construction materials, equipment (desirable).
NGO or MSF experience (desirable).
At least one year as a storekeeper or in a similar warehouse role (essential).
Languages:
English
Knowledge:
UniField or another stock management software (desirable).
Computer literacy: Basic Excel, Word and email (essential).
Able to read part numbers and technical specifications (essential).
